1. Who we are

Roam is the trading name of EV Chargers Ltd, registered in England and Wales with its registered office at Nexus House, 4 Gatwick Road, Crawley, RH10 9BG. We are the controller of the personal information described in this notice, which means we decide how and why it is used.

This notice explains how we use personal information about visitors to www.roamcharging.com, users of the Roam: EV Charging app, our customers, and people who contact us. It does not cover our employees or job applicants, who receive separate privacy notices.

2. The information we collect and why

We collect and use the following personal information. For each purpose we identify our lawful basis under UK data protection law.

Where we rely on legitimate interests, we have assessed that our use of your information is proportionate and does not override your rights. You can ask us for details of these assessments.

3. Cookies and similar technologies

When you visit our website, we place small files called cookies on your device. Some are sent back to us later to make the website work and help us understand how it's used. Some related technologies - such as pixels and tags - work in a similar way, and we use the word "cookies" for all of them in this notice.

We use three types of cookies:

Strictly necessary cookies make the website function - delivering pages, submitting forms and remembering your cookie choices. These are always set, because thesite doesn't work without them, and the law doesn't require your consent for them.

Analytics cookies help us understand how visitors use the site - which pages are popular, how people find us and where the site could work better. We use Google Analytics for this.

Advertising cookies measure whether our advertising is working and support advertising on other platforms. We use Google Ads conversion tracking and the LinkedIn Insight Tag, which means Google and LinkedIn also receive information about your visit and use it in accordance with their own privacy policies.

Other than strictly necessary cookies, we only set cookies with your consent, which we ask for through the banner when you first visit. You can change your mind at any time using the cookie settings link at the bottom of every page, and you can also block or delete cookies through your browser settings — though blocking strictly necessary cookies may stop parts of the site working.

4. Who we share your information with

We share personal information only where there is a genuine need, with:

•   Service providers - companies that process information on our behalf, including our payment processor, app and charging platform provider, website host, IT and cloud service providers, and customer support tools. They act on our written instructions and cannot use your information for their own purposes;

•   Subcontractors - installation and maintenance partners, to the extent needed to deliver and support our products and services;

•   Professional advisers - our accountants, solicitors, insurers and auditors, where necessary;

•   Authorities - regulators, government bodies and law enforcement, where the law requires or permits it; and

•   Business transferees - in the event of a sale, merger, financing or reorganisation of our business, prospective and actual buyers and their advisers, under appropriate confidentiality protections.

5. International transfers

Your personal information is stored and processed in the United Kingdom wherever possible. Where a service provider processes information outside the UK, we ensure the transfer is protected - either because the destination is covered by UK adequacy regulations, or through appropriate safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. 6. How long we keep your information

We keep personal information only as long as we need it for the purposes described in this notice, including meeting legal and accounting requirements. Our main retention periods are:

Payment records 6 years from the end of the financial year, to meet accounting and tax requirements
Enquiries that do not become customers Up to 2 years from our last contact with you
Marketing subscriptions Until you unsubscribe, then a record of your opt-out so we respect it
Contracts and related correspondence 6 years after the contract completes, in line with limitation periods

When we no longer need your information, we delete it securely or anonymise it.

7. How long we keep your information

We protect your personal information with technical and organisational measures proportionate to the risk, including encryption of data in transit, access controls limiting who can see your information, and secure disposal. Roam holds Cyber Essentials certification and operates an information security management system certified to ISO 27001. Payment card details are handled by our payment processors and are not stored on our systems.

8. Your rights

You have the following rights over your personal information, all free of charge:

•   Access - ask for a copy of the personal information we hold about you;

•   Rectification - ask us to correct inaccurate or incomplete information;

•   Erasure - ask us to delete your information in certain circumstances;

•   Restriction - ask us to limit how we use your information in certain circumstances;

•   Portability - receive information you provided to us in a structured, machine-readable format, where we process it by automated means under contract or consent;

•   Objection - object to processing based on legitimate interests, and to direct marketing at any time - if you object to marketing, we will stop; and

•   Withdrawing consent - where we rely on your consent, withdraw it at any time without affecting earlier processing.

To exercise any of these rights, contact dpo@roamcharging.com. We may need to confirm your identity before responding. We will respond within one month; for complex requests we may extend this by up to two further months, and we will tell you if so.

We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.

9. Complaints

If you think we have not handled your personal information properly, you have the right to complain to us. Contact our Data Protection Lead at dpo@roamcharging.com and we will acknowledge your complaint within 30 days, investigate it and tell you the outcome.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first, but you can go to the ICO at any time.

10. Changes to this notice

We may update this notice from time to time, for example when our services or the cookies we use change. The latest version will always be published on our website with the date it took effect. If we make significant changes, we will take reasonable steps to bring them to your attention.
